Med Spa No-Shows: The Deposit Is the Lever, Not the Reminder

Reminders are table stakes

Every booking platform sends a confirmation and a reminder. Yours does. So does the med spa two miles away. If reminders were the answer, no-shows would already be solved, and the Tuesday afternoon hole in your book would not exist.

Reminders help a customer who intended to come and forgot. They do almost nothing for the customer who booked on impulse at 11 PM, never had money at stake, and decided on the morning of that they would rather not.

The lever is the deposit

Appointments booked with a deposit no-show 73 percent less often. That is the single largest change available to a med spa book, and it is not a messaging change. It is a change in what a booking is.

The reason owners skip it is friction. Asking a new lead for a card feels like a way to lose them, and collecting it means a phone call, a card reader, or a link somebody has to remember to send. So the deposit policy exists on paper and gets applied to about a third of bookings.

How the deposit gets collected without you

When the agent confirms a booking, a Stripe payment link is generated and texted into the same conversation the customer is already in. They tap it, they pay, the webhook marks the appointment as secured. There is no separate email, no callback, and nobody at your desk has to remember.

The timing is the part that matters. A deposit request that lands three seconds after "great, Thursday at 2 works" converts very differently than one that lands the next morning in an email.

When somebody misses anyway

Some percentage always will. The no-show trigger fires on its own when the appointment window passes, sends a warm message that does not scold, and offers two real openings pulled from your live calendar. Nobody at the front desk has to notice the empty room first.

There is also a no-show predictor running against your booking history, so the appointments most likely to go missing are visible before the day arrives rather than after.

Rebooking without a phone call

The rebook is the other half of the same problem. Ruby watches the gap since each client's last visit and reaches out at 45 days. Across the platform, contacts worked at that window come back at 5.4 percent against 0.8 percent for the ones nobody touches. It is a small-looking number that compounds across a client list.

The message that works is specific: the client's name, what they had done last time, and two actual times. Two actual times requires the agent to be reading a real calendar, which is why the booking integration matters more than the copywriting.
